School admin without the 8.40am panic

Letters, apps, emails, a book bag full of paper. The fix isn't reading more carefully. It's having one place every date goes the moment you see it.

It's 8.40 on a Wednesday and someone at the school gate is wearing a onesie. It's a non-uniform day, in aid of something, and you'd have known if you'd read the second page of the newsletter that arrived in the school app, the class WhatsApp and the book bag, all on different days.

School admin isn't hard. There's just a lot of it, and it arrives from five directions at once: the school app, email, paper letters, the class chat, and whatever your child remembers to mention at bedtime.

The rule: one place, the moment you see it

Every date goes in the family calendar the moment you read it. Not when you've finished the newsletter, not "later tonight". Right then, from your phone, in the queue at the shop.

This is the only habit that really matters. Everything else below just makes it easier.

Sort by what it needs from you

Most school admin falls into one of four types, and each has a natural home:

  • A date (inset day, trip, sports day): straight into the calendar
  • A deadline (form, reply, payment): a task with a due date, two days before the real one
  • Something to bring (costume, money, kit): a note on the calendar entry for that day
  • Just information (new menu, term dates): skim, then bin or file it

The trick with deadlines is setting them early. If the permission slip is due on Friday, your task is due on Wednesday. That's your buffer for the form that went through the wash.

Put the whole term in at once

Schools usually publish the term's dates in the first newsletter or on the website: inset days, half-term, parents' evenings, the Christmas show. Spend ten minutes in the first week putting all of it in the calendar. It's the most valuable ten minutes of the term.

Check your council's website for term dates too. Half-term dates vary by area and sometimes differ between schools in the same town.

Empty the book bag on Sunday

Paper still gets through. A quick look through the book bag on Sunday evening, as part of the weekly reset, catches the letter that's been there since Tuesday. Deal with each one then: calendar, task or bin.

Share it, don't forward it

If two adults are doing school runs, both need the dates. Forwarding emails to each other doesn't count, because the email gets buried. A shared calendar means whoever reads the letter adds it once and both of you see it.

When the class chat is the problem

Class WhatsApp groups are a mix of vital information and forty messages about a lost jumper. Mute the group, and check it once a day at a set time. When something important appears, it goes straight in the calendar and you can stop scrolling.
